Minutes of the High Plains AMS/NWA Chapter Meeting

December 14, 2011

Eighteen members of the High Plains Chapter of the AMS/NWA met via a conference call at 1 pm CST, Wednesday, December 14th, 2011.  President Chris Foltz ran the conference call from his office in GLD.  It was stated that our next conference call in June will either have a guest speaker or be in a webinar format.  

Treasurer’s report.  The treasurer reported an ending balance of $6385.43, which included $600 in donations  towards Tim Burke’s /DDC travel costs to the NWA conference in Montgomery, AL in October, $400 of Expenses from a donation by our chapter to the Wichita AMS/NWA Chapter and $765.10 for costs for Tim Burke’s travel to the NWA Conference.    The Jim Johnson scholarship fund balance remains at $2415.  Thus, the checkbook balance as of 12/14/11 was $3970.43.

Previous Meeting Minutes.  Minutes from the 10/27/11 meeting in Norton were sent via email to all members about one week prior to this conference call. No changes were needed.

Old Business. 
Concerning the Tax-exempt filing status, Mike Umscheid/DDC met with Jim Johnson recently and learned we need to be very specific with data entered on Form 1023.  So the form submitted to Kansas had to be amended, to include new language to satisfy both Kansas and IRS requirements.  We want to have this form as thorough as possible before submitting it to the IRS.   Mike Umscheid is working on a deadline of Jan 31st to have the form submitted to the IRS. 

We voted positively to donate $400 to the Wichita Chapter, since we did not have to donate money toward student scholarships at the Wichita conference.  The Wichita AMS/NWA chapter approached our Chapter about formally becoming one of the offices to host our annual Conference, making it a 5-year rotation (vs. 4) between ICT/DDC/GLD/HIS/LBF.  After some discussion, this topic was tabled until a later meeting.  The Jim Johnson Scholarship committee will consist of Chris Foltz/GLD, Shawn Jacobs/LBF, Kelly Sugden/DDC, and Scott Bryant/GID.  Letters to High Schools need to be sent out by January 31st, with a target date of receiving letters back from the students of April 1st. 

New Business. 
Officer nominations are needed by the Jan 11th meeting.  Only 2 officers, President Chris Foltz and Secretary Tim Burke, have volunteered to stay on for another term.  We NEED nominations for the
Vice President and Treasurer positions, and would entertain another nomination for the President.  If interested, please send an email to Chris Foltz ASAP <Christopher.Foltz@noaa.gov>.

The Hastings HP Conference planning committee will meet soon and will send out additional information.  For now, we know the dates selected are August 8-10th, 2012, which is Wednesday to Friday, to be held at the Wilson Center (Hastings College). 

Mark your calendars:  Chapter meetings will normally be held on the 2nd Wednesday of January, March, and October, with the 4th face-to-face meeting being at the conference in August.  So, for 2012, meetings will be: January 11th, March 14th, October 10th, and at the August conference.  Conference calls/Webinars will be held on June 13th and December 12th.

The Conference call meeting adjourned at 2:23 pm CST.  The next HP meeting is scheduled for January 11th, 2012 in Norton, KS at 11:30 AM.
